1. Cancelling before payment

Payment must be received within 24 hours of booking.

If payment is not received within that period, BodyWitness may cancel the booking and release the appointment time.

2. Cancelling or rescheduling an appointment

Clients may cancel or reschedule an appointment by contacting BodyWitness at least 48 hours before the scheduled session start time.

as soon as possible if you need to make a change.

3. Cancellation or rescheduling with 48 hours’ notice

Where at least 48 hours’ notice is provided, BodyWitness will aim to:

• Offer an alternative appointment; or

• Discuss any refund due

The outcome may depend on whether the appointment has already been paid for and whether any travel or other costs have been incurred.

4. Cancellation with less than 48 hours’ notice

Cancellation or rescheduling requests made less than 48 hours before the scheduled session may not be eligible for a refund or alternative appointment.

BodyWitness may consider exceptional circumstances at its discretion.

Any amount retained or charged will be considered in light of the circumstances and any genuine loss involved. It will not be used as an automatic penalty.

5. Travel appointments

If a travel appointment is cancelled after travel arrangements or other costs have been incurred, those costs may be taken into account when considering any refund.

Any travel fee should be agreed before the travel appointment is confirmed.

6. BodyWitness cancellations

If BodyWitness needs to cancel an appointment or cannot provide the booked session, you will be offered an alternative appointment or a refund of any payment made for the cancelled session.

7. Consultation cancellations

The 20-minute consultation follows the same 48-hour cancellation and rescheduling policy as the longer sessions.

Please contact BodyWitness at least 48 hours before the scheduled consultation time if you need to cancel or reschedule.

8. Payment confirmation

A booking is not confirmed until payment has been received and verified.

If a booking is cancelled before payment is received, there is no payment to refund.
